Terms and conditions
The terms on which we quote, confirm and run a trip.
These terms apply to bookings made with MICEcafe Journey Private Limited and to the use of central.micecafe.com. Where a signed contract or an accepted quotation says something different for a particular booking, that document takes precedence.
1. Quotation and confirmation
- A quotation states the group size, dates, destination, inclusions, taxes and payment schedule. It holds for the validity period printed on it.
- Airline fares, hotel rates and exchange rates move. Until the booking is confirmed and the confirming payment received, a quoted price is an estimate.
- A booking is confirmed when we have written acceptance and the confirming payment in the schedule.
2. Payment
- Payments follow the schedule in the accepted quotation. Tickets, visas and hotel confirmations are issued against payments received.
- A payment made by bank transfer or UPI carries nothing extra. A payment made through the payment gateway carries the gateway's convenience fee, which is shown in full before the payment is started.
- A payment is treated as received when it reaches our account and is reconciled, not when a receipt is uploaded.
- Taxes are charged as they apply on the date of invoice, including GST and, where applicable, TCS on overseas tour packages.
3. Passports, visas and documents
- Travellers must hold a passport valid for at least six months beyond the return date, with enough blank pages.
- The name on the ticket is issued from the passport. A name given to us that does not match the passport, or a correction sent after ticketing, may mean an airline charge, which is passed on.
- A visa is granted by the destination country, not by us. We prepare and lodge the application; we cannot guarantee the outcome or the timing. A refusal is not a reason for a refund of amounts already committed to airlines and hotels.
- Documents we need from a traveller must reach us by the date stated on their link. Travel documents are released to a traveller once those papers and the consent are in.
4. What is included
Only what the quotation lists is included. Anything not listed — extra nights, room service, laundry, minibar, excursions taken independently, tips, excess baggage, personal expenses — is the traveller's own cost.
5. Changes
- Where an airline changes a schedule, or a hotel is unavailable, we substitute an equivalent and tell you. A material change is agreed with the customer first.
- Changes asked for after confirmation — different dates, a changed name, an added traveller — are quoted before they are made, and carry whatever the airline or hotel charges.
6. Cancellation and refunds

7. Conduct and liability
- Travellers must follow the laws of the country visited and the reasonable instructions of the tour manager. A traveller removed from a trip for conduct is not refunded, and their return travel is at their own cost.
- We act as an organiser and agent for airlines, hotels, transport operators and other suppliers. We are not liable for their acts or omissions, nor for loss, delay or injury caused by them or by events outside our control, including weather, strikes, government action and airline schedule changes.
- Our liability for any claim is limited to the amount paid to us for the booking it arises from.
- Travel insurance is strongly recommended and is included only where the quotation says so.
8. The link we send you
The link for a booking is private to that booking. Please do not forward it. We may replace a link at any time if we believe it has been shared beyond the people it was meant for.
9. Governing law
These terms are governed by the laws of India. Disputes are subject to the exclusive jurisdiction of the courts at New Delhi, Delhi.
